Top Tips that will Help you to Email More Efficiently

Nobody likes having an endless list of emails to reply to. It’s hard work and you may even find that it’s time-consuming as well. If you want to put an end to this once and for all then here are a few tips that will help you to email more efficiently…

Take Action

Think of your inbox as an assembly line. You have to process what is in front of you, and then deal with it. You have three options when you get a new email, you can respond to it, delete it or just read it. So many people check their emails, but they never take any action, and this is why so many inboxes seem to get out of hand. You may even have to come back and deal with it at a later date and this can essentially double the amount of work that you have to do. You also risk missing out on an important email because your inbox is drowning in spam. One way for you to get around this would be for you to take action, right there and then.

Create an Email Signature

It helps to have one email signature for work, and then one for your home use. Your signature should also have links to your social media pages, so people can find other avenues in which to connect with you. It’s also a good idea to invest in email signature marketing as well, and this is especially the case if you operate a business.

Template Responses

Sometimes you need to respond with something very quick and simple. This acknowledges the fact that you have received the email, and it is a great way for you to clear that unread notification from your inbox. If you have to type out a quick response every single time, ironically, you’ll soon find that it takes up a ton of time. One way for you to get around this would be for you to use template responses. These can be saved on your email dashboard and you can set them up to flesh out your emails as well. This will make it much faster for you to email people back and it also means that you can fire off a quick message without having to sound short with the other person. If you are not sure how to create your own responses then you have nothing to worry about, because you can find a ton of them online. There are even business templates available too.

Email on the Go

So many smartphones come with email capabilities. If you want to make the most out of yours then you need to download the app for your email provider. When you do this, you can take advantage of the mobile features and you can also reply to emails on the spot. Studies have shown time and time again that the faster you reply to an email, the more professional you look, so it is always a good idea for you to try and get in the habit of emailing on the go.

Hopefully these tips to email more efficiently have given you some things to think about and put into place.
